Our reach is national; the clients we serve boast fleets of all sizes and span from local companies to interstate operations. Our niche is providing services for clients who require coverage plans and registrations spanning multiple states, providing comprehensive coverage around the country. While similar fleet management companies only work with large fleets, we specialize in the small fleet segment, helping our valued clients secure the best rates, coverage, and service for 10-150 vehicles, vans, and trucks. Southgate Lease Services is also uniquely positioned to help those clients who require fleet company vehicles that accumulate high mileage.

We save our clients thousands of dollars over retail by facilitating the acquisition of company vehicles based on fleet pricing. The professionals at Southgate Lease Services help you determine which vehicles make sense for your operations, budget, and the future of your company. Our contacts and industry recognition allow us to obtain the makes and models your company prefers, effectively negotiate manufacturer discounts and volume pricing, and coordinate nationwide delivery to dealerships near your drivers.

Our fuel card program simplifies payment for your drivers and provides seamless odometer data to inform fleet management decisions. Our clients reap a trove of benefits from our fuel card and cost control programs. Drivers can conveniently and confidently pay at the pump with guaranteed nationwide acceptance by all major fuel vendors. Southgate Lease Services also offers tools for driver monitoring, including PINs associated with driver IDs and odometer readings, less paperwork, point-of-sale details such as price per gallon, number of gallons, vendor location, time of fill-up, and more. Under our care, our clients can identify the most cost-effective and convenient stations by driver location, set per-transaction or per-day dollar limits that control costs and risk, and easily replace lost or stolen cards.

Leave license and title administration for your business vehicles to Southgate Lease Services. Our professionals manage initial licensing and titling for fleet customers in all 50 states, placing us a class above other fleet management services. We monitor registration renewals, alert drivers within 30-45 days of expiration, and utilize online registration renewal when available to expedite processing. Perhaps one of our greatest assets, Southgate Lease Services facilitates state inspections and emission testing to keep your vehicles in compliance while also maintaining titles for easy state-to-state vehicle transfers or ownership changes.

Stay on top of changing tax laws with comprehensive tax management for your fleet. Southgate Lease Services keeps your fleet in compliance with our in-depth knowledge of state and local regulations, whether you own or lease company vehicles. The professional team at Southgate Lease Services monitor and adhere to tax code and rate changes to keep your fleet in compliance at the state, county, and local levels. We assign the correct tax rate and apply the proper treatment of state lease definitions, maintain asset records for the proper handling and payment of property taxes, and implement appropriate tax credits upon vehicle disposal. We also take the initiative to research and apply appropriate state sales tax treatment for exempt not-for-profit and charitable organizations.

Maximize the return on your investment with our proactive vehicle remarketing program. Southgate Lease Services remarkets each vehicle individually, using multiple sales channels rather than outsourcing to third parties. By analyzing the make, model, year, and mileage, we pinpoint a vehicle’s floor price while considering the auction location and sale inventory, thereby maximize your sale proceeds. We help our clients determine the right sales channel for each vehicle including multiple auctions nationwide, online vehicle exchange (OVE), and local dealer-to-dealer transactions. Finally, we facilitate the sale of a vehicle to the driver/employee or the company at lease end, expediting all details of transportation, reconditioning, and sales documentation including the transfer of titles.

When you’re facing unique fleet transport situations, Southgate Lease Services supports you with the appropriate solutions, including transferring vehicles along with title and registration between states and arranging for rental vehicles to meet temporary transportation needs. We pick up, store, ship, or dispose of vehicles during driver changes, all while communicating confidentially and seamlessly in the event of employee transitions.

At Southgate Lease Services, we pride ourselves on offering comprehensive solutions to accommodate all of your fleet management needs while individualizing each of our clients’ plans. We are always thinking about the larger picture by offering monthly, annual, or bi-annual tracking of a driver’s personal use of a company vehicle, then calculating the personal mileage income to be imputed on the driver’s W-2 form. While our vision is global, we never sacrifice the everyday needs of our clients: we offer immediate glass repair or replacement through our national account supplier, violation processing for parking and tollway infractions, and accident management services through a third-party affiliate. We have also invested in driver security and safety motor by offering vehicle record checks in all 50 states to monitor driver behavior as well as safety programs to promote positive driving habits, with checks and balances to correct poor driver behavior.

“People talk about partnerships in business, but our relationship with Southgate Lease Services is so much more than that. We’ve purchased 16 trucks from Southgate and those purchases, accompanied by their entrepreneurial spirit and incredible service, have helped our business reach new and exciting heights. The way that Nick and Tom, especially, have helped us fund our unique and complex truck build process is an accommodation we haven’t experienced with any of our other partners.”

Michael Hudalla, President, Division II

“Funny story, I was on the phone when a delicious box of cookies arrived at my desk from Southgate! More importantly, THANK YOU for your support this year. I’m pretty sure each of you has held my hand at various times throughout the year. With no experience of fleet management, this new responsibility fell into my lap with zero training or guidance. The Southgate team jumped into action and I’m grateful for your support and friendship.”
